How to Write a Refund Email That Actually Works (2026 Template)
The structure, tone, and specific phrases that get refunds approved by Amazon, TikTok Shop, Temu, and Shein. Includes a copy-paste template.
TL;DR
A successful refund email has four parts: order context, problem statement, policy citation, and clear ask. The tone is factual, not emotional. The ask is specific, not open-ended. Most claims get approved in 3-7 business days when they follow this structure.
Why most refund emails fail
The most common reason a refund claim gets rejected is not that the customer is wrong - it is that the email is hard for a support agent to act on. Agents process 50-100 claims per day. An email that takes more than 30 seconds to understand goes to the bottom of the pile, and "we cannot help" is the default response for ambiguous cases.
The four failure modes:
- Too long - 500+ word essays about loyalty as a customer
- Too emotional - insults, threats, sarcasm
- No policy citation - "I want a refund" without "per your policy section X"
- Vague ask - "make this right" instead of "issue a full refund of $X"
The 4-part structure that works
Part 1: Order context (2 sentences)
State the order number, the date, and the platform. This lets the agent pull up the order in their system.
Order #123-4567890-1234567, placed on Amazon on March 12, 2026.
Part 2: Problem statement (2-3 sentences)
Describe what went wrong, factually. Include the date the problem started if relevant.
The package was marked delivered on March 18, but I have not received it. I checked with my building reception and my immediate neighbors, and the package is not at the address.
Part 3: Policy citation (1-2 sentences)
Quote the relevant section of the platform's refund policy. This is the most important part - it tells the agent that you know your rights and that denial would be a policy violation.
Per Amazon's A-to-Z Guarantee, items not received within the delivery window qualify for a full refund of up to $2,500 per order.
Part 4: Clear ask (1 sentence)
State exactly what you want. Not "make this right" or "resolve this issue". A specific ask.
I am requesting a full refund of $47.99 to my original payment method.
The tone
A refund email should sound like a customer who is calm, informed, and reasonable. The agent reading it should think "this person knows what they are talking about - easier to approve than to deny".
Phrases that hurt your case:
- "I am extremely disappointed"
- "This is unacceptable"
- "I have been a loyal customer for X years"
- "You people"
- "I demand"
- All caps
- Multiple exclamation points
Phrases that help your case:
- "Per your policy"
- "The tracking shows"
- "I have checked [list of locations]"
- "I am requesting a refund of $X"
- "Please let me know if you need additional information"

Platform-specific notes
Amazon
- Always include the order number (not just the product name)
- Reference the A-to-Z Guarantee if Customer Service declines
- Keep emails under 250 words - Amazon agents process them quickly
TikTok Shop
- Mention that you tried to resolve with the seller first
- Reference the 30-day refund window
- For damage, include a photo URL (not attachment - email attachments get filtered)
Temu
- Temu is more lenient than Amazon on late deliveries
- Mention the estimated delivery date vs actual
- For late standard shipping, full refund is automatic
Shein
- Shein is the strictest of the four on damage claims
- Photos are almost always required for damaged items
- For missing packages, the seller is usually the contact, not Shein support
Common mistakes
- Submitting the same generic email to all four platforms. Each platform has different policies. The email that works for Temu will not work for Amazon.
- Including tracking screenshots in the email body. Reference the tracking number; do not paste a screenshot.
- Asking for a partial refund when the policy provides a full refund. Underselling your ask hurts your case.
- Sending the email through a different channel than the platform's official support. Use the in-app or website help flow, not personal email or social media.
